Privacy Policy
Last updated: 1st January 2026
Owls Bay Ltd, trading as Freight Nest ("Freight Nest", "we", "us", "our"), is committed to protecting your privacy. This Policy explains what personal data we collect, why we collect it, how we use it, and what rights you have over it. It applies to our website at https://freightnest.co.uk and to the freight brokerage services we provide.
We are the data controller for the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
Freight Nest is a UK freight broker, matching businesses that need to move goods with vetted hauliers across England, Scotland and Wales.
Owls Bay Ltd (trading as Freight Nest) Company No. 16732923, registered office at Suite A, 82 James Carter Road, Mildenhall, Bury St. Edmunds, United Kingdom, IP28 7DE. Contact: info@owlsbay.co.uk · +447853785392
2. What this Policy covers
This Policy covers personal data we collect through our website, by phone, by email, or when you use our brokerage services to request a haulage quote or book a shipment. It does not cover the practices of the hauliers we introduce you to, or any third-party websites we may link to — please check their own privacy policies separately.
3. What data we collect
Depending on how you interact with us, we may collect:
- Contact details — name, company name, email address, phone number, billing and delivery addresses.
- Shipment details — pickup and delivery postcodes, pallet count or weight, load type, collection and delivery dates, and any special handling instructions.
- Account and booking history — quotes requested, jobs booked, and communications with our team.
- Payment information — billing details needed to invoice you (we do not store full card details ourselves; these are handled by our payment provider).
- Technical data — IP address, browser type, device information and site usage data, collected automatically when you visit our website.
4. How we use your data
We use your data to:
4.1 Provide you with haulage quotes and match your shipment with a suitable haulier;
4.2 Share the shipment details you provide with hauliers in our network so they can carry out the job, and pass on tracking or delivery updates;
4.3 Manage bookings, invoicing and customer accounts;
4.4 Respond to enquiries and provide customer support;
4.5 Improve our website and services;
4.6 Send you service-related updates, and, where you've agreed to it, occasional marketing about our services (you can opt out at any time).
We will only use your data for the purposes it was collected for, or a purpose that is clearly compatible with that.
5. Our legal basis for processing
We rely on the following legal bases under UK GDPR:
- Contract — to arrange and manage haulage on your behalf, once you've asked for a quote or booking.
- Legitimate interests — to run and improve our business, including fraud prevention and website analytics, where this doesn't override your rights.
- Consent — where you've opted in to marketing communications or non-essential cookies.
- Legal obligation — where we need to retain records for tax, accounting or regulatory purposes.
6. Who we share your data with
As a broker, sharing certain shipment details with third parties is central to how we deliver our service. We share data with:
6.1 Hauliers in our network, so far as needed to collect, carry and deliver your shipment — typically pickup and delivery details, contact information, and load specifics. Once your goods are in a haulier's care, that haulier is separately responsible for how they handle your data during transit.
6.2 Service providers who support our operations, such as payment processors, IT and hosting providers, and communication tools — bound by contract to only use your data as we instruct.
6.3 Regulators, auditors or authorities, where we're required to by law.
6.4 A buyer or successor, if Freight Nest's business is sold or restructured — your data would transfer as part of that, and would continue to be protected under this Policy or its successor.
We do not sell your personal data to third parties, and we do not hand it to hauliers or other parties for their own marketing purposes.
7. International transfers
We aim to use UK-based hauliers and service providers wherever possible. If any of our service providers process data outside the UK, we ensure appropriate safeguards are in place, such as an adequacy decision or standard contractual clauses.
8. How long we keep your data
We keep booking, invoicing and correspondence records for as long as needed to meet our legal and tax obligations (typically six years after the end of the relevant financial year), and delete or anonymise data we no longer need for a legitimate business purpose.
9. Your rights
Under UK GDPR, you have the right to:
- Ask for a copy of the personal data we hold about you;
- Ask us to correct inaccurate data;
- Ask us to delete your data, where there's no legal reason for us to keep it;
- Object to or restrict certain processing, including direct marketing;
- Ask for your data in a portable format;
- Withdraw consent at any time, where we're relying on consent.
To exercise any of these rights, contact us at info@freightnest.co.uk. If you're unhappy with how we've handled your data, you also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
10. Cookies
Our website may use cookies and similar technologies to keep it running properly and to understand how it's used. Where cookies aren't strictly necessary for the site to function, we'll ask for your consent before setting them. You can manage or disable cookies through your browser settings at any time — see Freight Nest's Cookies Policy for more details.
11. Security
We use appropriate technical and organisational measures — including secure systems, access controls and staff training — to protect your data against unauthorised access, loss or misuse.
12. Changes to this Policy
We may update this Policy from time to time, for example to reflect changes in our services or the law. Any changes will be posted here with an updated "Last updated" date.
